AI Voice Appointment Setter & Sales Pipeline Automation

Business problem

Residual Marketing needed a system to turn inbound leads (Meta/Facebook ads, Instagram, website inquiries) into booked in-person strategy meetings without relying solely on manual staff outreach. That meant a fast, consistent way to contact leads before interest cooled, a qualification layer to filter serious prospects from browsers, direct calendar booking without back-and-forth scheduling delays, clean pipeline tracking from lead to signed client to paid client, and a payment-triggered "Closed Won" status tied to actual revenue rather than verbal commitments.

  • Independently scoped, architected, and built the entire automation system in GoHighLevel as a solo freelance build.
  • Designed the pipeline and custom field architecture.
  • Configured GHL's native AI Voice Agent (prompt engineering + conversation logic).
  • Built workflow automation across lead intake, qualification, booking, and payment.
  • Set up Stripe payment products and an invoice-based payment confirmation flow.
  • End-to-end tested the full lead-to-booked-meeting journey.

Technical implementation

  • Workflow 0 — Pipeline Changed: central pipeline-stage router branching to stage-specific logic (New Lead, Contacted, Meeting Booked, Meeting Completed, Decision Pending, Follow Up, Contract Sent, Contract Signed, First Payment Received, Onboarding, Lost Lead).
  • Workflow 1 — Meta Lead Management: ingests leads from Facebook/Instagram lead forms, creates/updates the contact, assigns owner, tags, and routes into the pipeline.
  • Workflow 2 — Alice Takeover: triggers the native GHL AI Voice Agent ("Alice") to place an outbound qualification call; Workflow 2.1 routes the call outcome (qualified / not qualified / no answer / booked).
  • Workflow 3 — Contacted Stage Management: manages lead state once contact is made (human or AI), branching on call outcome and answer status.
  • Workflow 4 — Meeting Booking: books the qualified lead directly onto the business owner's live calendar, sends confirmation SMS/email, and manages 24-hour/2-hour reminders (Workflow 4.1 tracks the appointment lifecycle).
  • Workflow 5 — Payment Received: triggers on Stripe payment success, tags the contact, alerts the team via Slack, sends confirmation SMS/email, and updates the opportunity.
  • Alice (the AI Voice Agent) was built natively using GHL's AI Agents feature, not a third-party voice AI platform — a custom conversation prompt engineered for a 5–10 minute natural qualification call (introduction, rapport building, business discovery, current marketing, goals, revenue range, timeline, decision-maker check, soft budget check, qualify/disqualify, book meeting), with full objection-handling logic and guardrails against fabricating calendar availability or overriding human-assigned ownership.
  • Stripe-connected GHL payment product ("90-Day Growth Blueprint"), verified working end-to-end via a paid test invoice that triggered downstream automation.

Architecture

A lead arrives through a Meta/Facebook/Instagram lead form and enters the pipeline via the Meta Lead Management workflow. If a human doesn't contact the lead in time, Alice — the native AI Voice Agent — takes over and places a qualification call; the outcome routes the lead to booking or nurture. Qualified leads get booked directly onto the business owner's live calendar, and the deal only moves to Closed Won once a Stripe payment actually clears, with the whole pipeline centrally routed by a single Pipeline Changed workflow.

Challenges

  • No major technical blockers surfaced — the streamlined scope kept complexity manageable.
  • The client opted out of the Timeliner project-handoff integration rather than upgrade his plan, so the scope was adjusted accordingly instead of forcing it in.

Solutions

  • Scoped the build down from the client's full 22-workflow blueprint to the 8 essential workflows needed to solve the core problem — lead response speed and qualified booking — avoiding over-engineering a first-phase build.
  • Used GHL's native AI Agents for Alice instead of a third-party voice AI platform, keeping the system self-contained with no extra integration overhead or added monthly cost.
  • Designed Alice's prompt with strict guardrails (never overrides human-assigned ownership, never invents calendar availability, never discusses pricing) to protect the business owner's existing sales relationships.
